Who we are

This is the private team site of the 2035 Snow Leopards, a youth lacrosse team. It is run by the team’s coaches and parent volunteers for the team’s own families. It is not a business and has no advertisers.

What we keep

Only what the team needs to run:

• Your account: your name, email, and a username and password if you use one. A password is stored scrambled, never in a form anyone can read.
• If you sign in with Apple or Google: we receive only your name and email address from them (with Apple you can choose to hide your email; Apple then gives us a private relay address). We never get your Apple or Google password, contacts, photos or anything else from that account. A new account still needs the team code before it can see anything.
• If you sign in with an emailed code: the six-digit code works once, for ten minutes. We keep only a scrambled copy of it, never the code itself.
• Your family: which player on the roster you are linked to.
• About players: name, jersey number, a roster photo, evaluations and practice or game clips. Coaches and team moms add these. Players do not have accounts.
• What you add: photos and videos you send, comments, poll votes, what you sign up to bring, Lost and Found posts, notes in The Den, songs you suggest for the team’s mixes, and the videos you keep in Family clips. Coaches add plays and practice plans; team moms add the team budget and photos of its receipts.
• Tournaments (Tournament HQ): what you tick off on the packing list; your answer to a team meal (coming or not, how many adults and players, and any dietary note you add); where you are on the day (on the way, at the hotel, at the field, or that you need help), with any short note; and requests you post to help or be helped by other families (a ride, gear, food). Coaches and team moms see meal answers and check-ins so they can plan and find you, and if you tap Need help your name and note reach them straight away by push and email. Other families never see your meal answers, packing or check-ins, only the help requests you post.
• Team pins (Find the Team): if you drop or move a pin, where it is, its name, what to look for, any photo you add with its description, and that you placed it. If you tap Use My Location, the pin starts at your phone’s location at that moment, and that spot is saved as the pin. Everyone on the team sees the pin for that event. The app uses your location only while you place a pin or check the final distance to it; the distance stays on your phone, and nothing else about where you are is kept or sent.
• Game video: when a coach or team mom streams a game from the team’s camera, the live video with its sound, and the replay made from it. It shows the game, so it may show players, coaches, officials and spectators. We keep which account prepared, confirmed and ended each broadcast, and any report about it. We count how often games are watched, without recording who watched what.
• Guest passes: a family can invite a guest to watch one day of the team’s games: in a web browser by a link, or on a TV by six numbers. We keep only the guest name the family typed, if any (like “Grandma and Grandpa”), and scrambled copies of the link’s code, the six numbers, and that browser’s or TV’s session. When a guest watches on a TV we also keep the name that TV was given (like “Living Room”), and scrambled copies of a random number the TV app made for itself and of the TV’s network address, used only to limit wrong guesses at the six numbers. A guest is never asked for a name, email, phone number or account, and we don’t record where a guest is.
• Game moments: if you tap That was her while you watch a game, or a coach taps Mark moment, which game and when you tapped. After the game we cut a short clip around each tap from the replay, just for you. It goes with the replay after 30 days unless you keep it; a clip you keep becomes a video in Family clips. A coach’s mark is kept with the replay for the coaches.
• Wall Ball Challenge: each day you tap that your daughter practiced at home, for that week’s challenge, and which parent tapped. Only your family sees your own days; everyone on the team sees the team total. Coaches and team moms see the total and how many families took part, never which ones. If you delete your account, the days you logged stay in the team total, without your name.
• Field pins: if a coach or team mom pins a field so families can follow pawprints to it, where it is, how exact their phone’s location was, and that they placed it; a field stays pinned for that venue.
• Notes to the coaches (Office Hours): if you write to the coaches, what it is about, which of your players, your words, when you wrote it and when it reaches them; and their answer, who gave it, and when they read and answered it. If you withdraw a note before it reaches them, it is deleted.
• Winter training goals: the goals you set for your daughter (one of the team’s list, or your own words), where each one stands and the date you marked it done, and each coach check-in on it: one of three answers, an optional short note, which coach, and when. Short clips of her that you add to a goal (20 seconds at most, one every two weeks) and lines of her own words, with which parent added them and when. No statistics are kept about her. If you remove a goal, its check-ins, clips and words go with it. All clips are deleted June 1.
• TVs you sign in on: if you use the team’s Apple TV app, the name the TV was given (like “Living Room”), when it was connected and last used, and a scrambled copy of its session. The TV never keeps your password. You can see and disconnect every TV under Account, then TV.
• Your settings: which notifications you want, and if you turn on notifications, a token that lets us reach this phone.
• Keeping it working: a sign-in cookie, reports of errors when a page breaks, and a daily summary from the app of its speed and battery use (never what you post or see). We use no advertising, no analytics trackers and no cookies from anyone else.

How it is used

To run the team: the schedule, film from the coaches, sign-up sheets, photos, polls and messages. We never sell it, rent it or use it for advertising, and we don’t share it with anyone outside the team except the services below that host the site for us.

Who can see what

• Every family on the team sees the roster (names and numbers), the schedule, the Team Board, and the photos the team moms add to Team Photos.
• Only your family and the coaches see your daughter’s evaluations and the clips coaches post for her.
• Only your family sees the videos you keep in Family clips: the parents linked to your daughter. Not the coaches, the team moms or other families. Nobody is told when you add one.
• Coaches and team moms see the photos and videos you send before they choose any for the team’s gallery or social media, and see contact details so they can reach you.
• Photos and film are stored privately. They are only shown to signed-in team members, through links that expire.
• Game video is private: only signed-in team members, and guests a family invited for that one day, can watch, through links that expire within hours. It is never public and can’t be downloaded, except a short clip of a moment you marked and chose to keep: it is saved as a video in your Family clips.
• Only you see the game clips your taps made. Nobody is told you tapped. When three or more families tap at the same play, the coaches see that a play was marked and how many families marked it, never who.
• Only you and the coaches see a note you write in Office Hours, and the coaches only from the time it is due to reach them. Not the team moms, the other families or the other parent linked to your daughter.
• Only your family and the coaches see your daughter’s winter training goals and the coaches’ check-ins. Not the team moms or other families. When a coach checks in, your family gets one notice that names her first name only; the coach’s words stay in the app. Winter goals clips are private to your family and the coaches: never shared, never in a notification, and nobody is told when you add one. They are deleted June 1, so save any you want to keep to your phone.

Services that host the site

These companies run parts of the site for us and handle data only to do that:

• Supabase: the database, sign-in and file storage.
• Netlify: hosting the site.
• Resend sends the team’s emails; Zoho hosts the team inbox.
• OneSignal: push notifications, if you turn them on.
• Sentry: error reports when a page breaks. Text on screen is masked and photos and videos are never included.
• Cloudflare: a check at sign-in that you are a person, not a bot.
• Amazon Web Services: Amazon Interactive Video Service receives the team camera’s live game video and delivers it to team members and invited guests, and Amazon S3 stores the recording. It handles the video only to do that.
• Apple and Google: only if you choose Continue with Apple or Continue with Google. They confirm who you are and share your name and email with us, nothing more.
• Have I Been Pwned: when you choose a password, we check it hasn’t leaked in a known breach. Only the first five characters of a scrambled version are sent, never the password.
• TeamSnap is where the schedule comes from. We read the team’s schedule from it and send it nothing about you. Weather and field maps use Open-Meteo and OpenStreetMap with the field’s address only.
• Apple also delivers notifications and Wallet passes. In the iPhone app too, the forecast at the field comes from Open-Meteo through our server: the field’s location is sent, never yours.
• Spotify: the team’s game day mixes live there. The app only links to Spotify and never plays music itself; Spotify sees nothing about you unless you open it.
• Game scores: the final scores the coaches enter in TeamSnap are shown to team members with the team’s win–loss record, and a game’s final is kept on our server for two days. Only the team’s score is read: never a player’s statistics.

On your phone only: the iPhone app sorts a game’s photos into Moments, drafts summaries with Apple Intelligence, and reads receipts and printed schedules on the phone itself. Those photos and words are not sent anywhere to be analyzed, and the app never recognizes faces.

Children

Accounts are for parents, coaches and team moms. The site is not meant for children to use, and players are not given accounts. What it holds about players is added by their coaches and parents, for the team.

Only a coach, team mom or admin can stream a game, after confirming the right game, the permissions for it, and that the camera covers the game and not private conversations. No child can start, post or appear by account in a stream.

How long it is kept, and deleting it

Your account and what you added are kept while you have an account. You can delete your account yourself at any time under Account, then Delete account. That removes your sign-in, settings, and the photos, videos, comments, votes and posts you added, straight away. Team pins you placed stay for the team, without your name. Daily backups roll off within 7 days.

A game’s replay is deleted after 30 days, unless a coach keeps it in the team’s film library. A guest pass stops working the night of its day, and deleting your account ends any guest passes you made. Game video belongs to the team; to ask for a replay to be removed sooner, use Report Stream or Replay or email us.

A TV you signed in on is signed out by itself after 14 days without use, and after 90 days in any case. Deleting your account disconnects every TV.

A player’s record (her roster entry, evaluations and the coaches’ film) belongs to the team while she is on it. To have it removed, or to ask for a copy of anything we hold about you or your child, email coaches@snowleopardslax.com.

Community rules

This is a team space for families and kids. No offensive, harassing or bullying posts, no one else’s private information, nothing off-topic. There is no tolerance for objectionable content or abusive members: anything can be reported from its … menu, an admin reviews every report within a day and removes what breaks these rules, and anyone who keeps breaking them loses their account. You can also block any member so you no longer see what they post. Every live game and replay has Report Stream or Replay: it stops the video on your device at once, and an admin can turn viewing off for everyone straight away.

Your choices

Choose which emails and notifications you get under Account. Notifications on a phone can also be turned off in the phone’s own settings. “Game is live” notifications are off unless you turn them on from a game’s video page. You can ask us to correct anything that is wrong.

Changes and questions
